Wedding transportation is more than a vehicle for the couple. It's a coordinated logistics layer that has to flex around photographers, hair-and-makeup, the ceremony, the reception, and (often) an after-party in a different borough. This guide walks through how to think about it, what to book, and what to ask before you put a deposit down.
Start with the headcount math
Three numbers drive the entire vehicle plan: how many in the couple's vehicle (almost always two), how many in the bridal party (typically 6-12), and how many guests need shuttle service (often 0-200, depending on whether the ceremony and reception are at the same venue and whether out-of-town guests are at a hotel).
For the couple, a single sedan (Mercedes S-Class) or SUV (Cadillac Escalade) is standard. For the bridal party, a Sprinter Limo (10 seats, lounge-style) or Executive Sprinter (12 seats, captain's chairs) handles most parties in one vehicle. For guest shuttles, count seats × loops to get total capacity.
Map the timeline
Walk through your day chronologically and identify every moment transportation has to be in place. Morning pickup at hair and makeup. Bridal party from the suite to the first-look location. Couple from getting-ready to the ceremony. Family from the ceremony to the reception. Couple from the reception to the after-party. Each of these is a touch-point, and missing any one of them creates a chain reaction.
Decide: package or hourly?
Wedding services are typically offered as either flat-rate packages (covering specified vehicles, hours, and a defined itinerary) or hourly charters (where you book a block of hours per vehicle and direct usage on the day). Packages are more predictable; hourly is more flexible. For most weddings, packages work. But if your day has unusual structure (a 12-hour gap between ceremony and reception, multi-venue, multi-city), hourly often makes more sense.
Book early, especially for peak season
Peak season is May through October, with Saturdays being the highest-demand day. We recommend 3-6 months of lead time for peak Saturdays, and 2-3 months for off-peak or non-Saturday dates. Last-minute is sometimes possible but limits vehicle choice.
What to ask before booking
